It is important to spend quality time with you and your team to understand the issues and opportunities in your practice. Learning and understanding what is happening in your practice by analyzing, observing, speaking and carefully listening with all team members at length, and finally understanding what the owners goals and aspirations are is all helpful in determining a course of action.
After a full analysis is completed, an action plan is discussed and implemented in a chronological, systematic approach. Communication and hands on training and development are key in reaching your practice goals.
It is important to your patients, and your dental practice that your patients accept the treatment plans that you present to them, no matter how small. Having a structured system of case presentation in your office allows for higher acceptance rates. Professional and proper communication and hand offs from one team member to the next is vital. Visual communication tools, presenting in the most effective location in your office, closing techniques and third party financing are all important aspects to increasing your case acceptance rates.
As well, it is hugely important to track your case presentation as it allows you to improve on an ongoing basis.
Finally, you need to practice and discuss your case presentation(s) on an ongoing basis, as it is probably the most important aspect of your dental business from a growth and survival point of view.
It is obviously important to optimize your schedule. Having your hygienists' schedule full on an ongoing basis is important for your patients, as they are receiving the care that they require; but it is also important for your practice. Picking up the phone, emailing and texting properly designed communication to patients in an organized, systematic approach is the only way to keep your hygiene department as full as possible. Communication is key, be it in meetings, huddles or during clinical time!
First and foremost, it is extremely important that your Associates and Team Members have an Agreement or Contract, a Practice Handbook and a proper job description to follow. Having these three items can save both you and your Associates/employees and the practice owner a lot of aggravation. By communicating this information, which is available in these three documents, you present clear expectations and communication!
Training your team is vital to practice success! They should attend continuing education courses with you, as well, in-house training is extremely important. Training as a team, certainly when it comes to most clinical aspects and items such as case presentation, is extremely important to both your practice and your patients!
I encourage the offices that I have worked with to implement proper team meetings on a monthly basis, with well thought out agenda's, minutes, and communication emailed back to each team member after the meeting to reinforce. All very important!
Understanding the opportunities on how to market your practice both internally and externally is the main avenue of growth for your practice. Internal referrals are hugely important, yet the average dental office that I have visited, their patients by and large were not aware they were taking on new patients. A huge opportunity lost!
I visit and then work with dental offices to understand all of the amazing opportunities they have to communicate their services and the fact that they are accepting new patients.
Internally, your walls, counters, ceilings, signage, flat screens, telephone on hold, even the cars in your parking lot are all opportunities. Your brochure, and how to ask for referrals with it, your business card, website, reviews, social media, other networking businesses and professionals are all opportunities to help build your practice.

It is vital that your administration team answer the phone with a smile on their face, and to do it professionally with the patients best interest in mind. Place a mirror at each administration team members station and have them smile into the mirror just before picking up the phone. It works!
If you are currently investing in marketing, and your phone is not answered properly, your marketing will not be as successful as it could be. I teach your team the foundation of the incoming prospect call while placing the call in a structured process. As well, it is extremely important that your team focus on the benefits of the treatment that they are presenting. Benefits are why the patient is calling you in the first place!

It is much more comfortable for my dentists to be in a month to month agreement as opposed to a long term contract. Each agreement is based on how much time I need to spend in your practice, and how much overall time is required to help you achieve your ultimate goals.
